Samples support a decision only when the project records what the sample represents, who must approve it and which later item must match it. A finish chip, fabric piece, component and complete product answer different questions. GEORGE Group can discuss a project-specific sample route after the required decisions, quantities, destination and programme are known.

These GEORGE Group outdoor-furniture scenes directly illustrate the objects and interfaces an approval record may need to cover. They are not records of samples submitted or approved for a named project.
Plan samples and approvals for your project
Choose the sample that matches the decision
| Sample type | Useful for reviewing | Additional decision needed |
|---|---|---|
| Color or finish sample | Color direction, sheen, texture and comparison under project lighting. | Complete product appearance, substrate, joints, durability or configuration. |
| Material or upholstery sample | Surface, weave, hand, visible variation and proposed color reference. | Full cushion construction, drying, fit, frame performance or complete care result. |
| Component sample | A specific joint, edge, foot, hardware, woven detail or cushion build-up. | Whole-product dimensions, comfort, stability or all interfaces. |
| Complete product sample | Scale, form, comfort, operation, table-to-chair fit, moving and cleaning review. | Unrecorded performance, destination compliance or later changes not shown in the approved sample. |
| First production item | Defined workmanship, labeling, packing and alignment with the released revision. | Every later item unless the acceptance criteria and production controls are stated. |

Create an approval record for every submitted object
Give the submission a project, zone, item tag, supplier reference, revision, date and clear description. Attach photographs under consistent lighting where useful. List the drawing, material, finish and configuration it represents, and identify any point that remains excluded or open.
Name the approver and the allowed decision: approved, approved with stated comments, revise and resubmit, or rejected. Record the decision date and exact comments. Verbal discussion should be converted into the same written record before the proposal or production release is changed.
Control differences and changes
- Compare the sample with the current requirement and proposal revision, not an outdated image.
- Record natural or process-related variation that the approval team has actually accepted.
- Identify whether the approved object is retained, returned or replaced, and who holds the controlling reference.
- If a material, dimension, component or supplier changes, state which earlier approvals are affected.
- Confirm cost and programme effects before approving a revision.
- Link any tested or compliant status to the applicable report and exact configuration separately.

Release the correct revision
Before production or procurement release, compile the approved drawings, finish and material references, product or first-item decisions, quantities and named exceptions. Verify that the item tag and revision match the quotation and specification. The release should state who may authorize any later substitution and how it will be documented.
Use custom outdoor furniture options to define the development scope, quality evidence to handle documents and test applicability, and delivery and handover for post-approval responsibilities.
Prepare the sampling request
Send the item and zone list, decisions each sample must answer, approvers, destination, deadline, required quantity, return or retention needs, acceptable submission format and the current specification revision. Ask for sample charges, transport, timing and permitted revisions to be confirmed for the project.
Open the project enquiry form with the approval schedule. The available sample types, price, delivery method and programme will be confirmed against the proposed configurations.
